FileBound is an affordable web-based Content Management Solution that addresses these issues for organizations of all sizes. The challenge today is finding seamless solutions that control and manage information created from disparate sources and stored in many different forms. These forms often include paper files, archival box storage, document images, digital application files, computer print files, emails, faxes, web site input, and many others. FileBound is designed to accept and combine this disparate content, organize it, distribute it via workflow, store it, and provide secure access to it when and where users need it.
Document Imaging
Document Imaging technology is integrated functionality within the FileBound Solution. Paper documents can be converted to digital images using the locally installed Data Manager or FileBound Scan applications. Both of these batch scanning applications leverage the latest technologies to automate the conversion process using integrated barcode recognition, OCR, external data matching, and image enhancement to improve conversion productivity. These converted images can be uploaded to the local or ASP FileBound server. Images also can be imported from third party scanning applications, fax servers, or digital copiers using our Importer Pro module and directly committed to a FileBound server. FileBound also, provides browser scanning capabilities and scanning controls that can be imbedded into existing applications for direct scanning to a FileBound server.
Imaging is a required component of any content management solution. FileBound delivers the functionality you need to convert your paper documents, and begin realizing the benefits document imaging delivers. Within the FileBound framework these converted images can be stored, managed, and retrieved seamlessly with all your other information assets. Also, images committed to the system can trigger workflow processes based on process rules configured within the FileBound workflow module.
Workflow
All Content Management solutions should incorporate workflow! Many applications require multiple decision points and the ability to share documents among many users to complete these. The FileBound workflow module automates the collaboration and assignment of tasks to accelerate the completion of critical business decisions. This equates to increased operational efficiencies, reduced costs, and organizational scalability.
Advantages of implementing Workflow:
•Allows companies to define, study and document their business processes
•Automatically distributes work or tasks to specified users or groups for action or decision-making
•Reduces time and costs associated with manual steps or inactivity
•Complete reporting and process audit trail
•Promotes responsibility and accountability
Typical applications that benefit from the FileBound workflow include Vendor Invoice processing, HR hiring processes, Medical Transcription approvals, Lab Results routing, Remote Coding applications and Loan Approval processes. In each of these applications routing rules are configured which include the route each document takes upon entering the workflow based on index data. At each step in the workflow, decisions are made which determine the next step in the process. At each step users have the ability to create notes that travel with the document as it is processed. Users are assigned tasks that need to be completed and are notified of the task via email and with an entry in their task list.
Documents can enter a workflow either as a result of scanning the document, importing of application documents, the creation of an electronic form or through manual assignment.
FileBound Electronic Forms System
FileBound allows you to create and store a library of on-demand forms to automate the creation, distribution, and filing of transactional forms. These templates can be configured as Word, HTML, or XML documents. To create a form within the system, data from the FileBound data base or from external data sources can be merged into the form. The created forms can be routed down a workflow for completion or printed. The printed forms include a unique document ID barcode generated by the system and placed on the form. This allows completed forms to be tracked and auto-scanned into the system by reading the barcode. FileBound also has the ability to integrate with existing forms creation applications. These forms are passed through FileBound prior to printing which places the ID barcode on the form for auto-scan input into the system.
Integration
Integration with your core business applications and Windows has become a requirement for a Content Management solution. Information coming from numerous sources must be able to be saved quickly and efficiently into these systems. Likewise, the data in your existing core applications has been accumulated over time, at a considerable expense and is now a valuable asset. These systems must provide a process that allows you to leverage your investment in these systems and data. FileBound provides the tools you need to directly integrate with all your existing applications and to unlock the value of your data.
The FileBound integration solution is broken down into the following three major components:
•Integration Kit which integrates with Windows, enables desktop scanning, searching, audio recording, screen shot capture and CD/DVD production. The best feature? It is all standard functionality!
•Application Integrator is used to link a business's core application (i.e. AP, AR, HR, Manufacturing, Practice Management Software) to FileBound. This is accomplished in one of two manners. The first is the mapping of form fields and using a predefined hotkey to launch a FileBound search or indexing event. The second is screen scraping as in a terminal emulator to again launch a FileBound search or indexing event.
•Custom Development - The FileBound Content Management functionality can be embedded within existing applications or used as a development platform to create new content centric solutions. FileBound provides the APIs, sample code, documentation, and training developers require to successfully build custom Content Management Solutions.
Both solutions are simple to use and implement. They both compliment your existing assets and software applications. Why shouldn't you leverage these corporate assets to extend your content management solution? With Filebound, you can.
